A reader recently asked me, is there any way we can delay external (emails going outside our own company domain) for a minute in the Outbox? This will give our users the chance to change their minds and RECALL or UNSEND emails even after they click Send.
Yes!
This is easy if you are using SendGuard for Outlook.
SendGuard has a Delay Guard component that you will need to turn on and configure.
Setting up Delay Guard for External Emails
If you haven’t done so already, download and install SendGuard for Outlook.
Restart Outlook.
Open the SendGuard settings screen. Go to the “Standss Outlook Addins” Tab. Select More -> Setting to display the Setting screen.
Select the Delay Guard tab.
Enable Delay Guard
Setup how long you want to delay the emails for.
Enter your internal email domains in the appropriate part of the screen as shown.
Click OK to save your settings.
Create and send your emails. You will find that any emails that are addressed to only internal recipients (within your domain) will not be delayed. However if the email has even one external recipient, it will stay in your Outbox for at least your chosen time before being sent out.
Now your users have a way of changing their mind even after they click Send.
What if there is an URGENT email that I want to send immediately?
While you may want to delay most emails, there are occasional emails that need to be sent out immediately. Easy!
Create your email.
Tick the Send Now box (added by SendGuard) on the Ribbon.
Click Send.
This email will be sent without Delay Guard holding it up in your Outbox.
