If you use folders to organize your emails, you may be wondering how you can copy the same email to multiple folders. In this post, we show you how easy it is using Outlook…and then we give you an even easier way to do it using QuickFile for Outlook. The QuickFile method is great because it works for both received and outward emails.
Filing Outlook Email to Multiple Folders (drag and drop).
Right-Click on the email, drag it to the required folder, release it and select the Copy option.
Repeat for each folder that you wish to file the email to.
This works but:
- It can be time-consuming to find the right folder if you have a lot of folders.
- It is easy to accidentally drop the email into the wrong folder.
Filing Outlook Email to Multiple Folders (Using QuickFile).
The latest version of our Outlook addin QuickFile has a new feature that allows you to file one email (as mentioned above) in multiple folders…without all the trouble!
And here’s how you’re going to do it:
Open Outlook.
Select the email that you wish to file.
Click on the QuickFile icon. The QuickFile screen will be displayed (QuickFile will automatically display the most likely folders at the top of the list).
In the QuickFile Prompt, hold Ctrl and left click on the folders that you wish to file the selected email.
(If you wish to un-select a folder, continue to hold Ctrl and click on the folder again)
Click on the QuickFile button.
A copy of the email will now be moved to all the folders you have selected. It’s as simple as that!
Using QuickFile to file Outgoing emails in Multiple Folders
With the latest version of QuickFile, you can send&file in one step i.e. you can select the folders when you click send and the emails will automatically be filed after they are sent. You don’t have to manually go to the Sent Items folder later.
If you’re still confused, just follow the steps below:
Open Outlook.
Create an Email.
(Ensure that the Display Send&File Prompt when sending emails has been ticked in settings)
Click Send (or click Send&File on the QuickFile section of the Ribbon). The QuickFile screen will be displayed (QuickFile will automatically display the most likely folders at the top of the list).
On the QuickFile Screen, hold Ctrl and click on the folders that you wish to file the outgoing email(s) in.
Click Send&File.
After the email is sent, it will automatically be filed to the correct folders for you.
