As an IT Administrator or someone looking after email security, you’ve probably had some frustrating instances where you query your email users about their ethics and governance when they mistakenly send out confidential emails to clients and prospects.
SendGuard, an Outlook add-in, which protects your company from the risk of confidential information being emailed to the wrong people, can log email user activity. The email user will be promoted with a popup which will ask for confirmation before sending an email. The user can either cancel and review the email again or confirm and send the email.
Once the user clicks on the confirmation, the system logs basic details of the email as proof that a prompt was displayed, and the user chose to continue. This can be logged to the Windows Log or Text File depending on setup and configuration.
Having an email security system where you can log user activity for sending out emails to reduce organizational liability would save both the company and its employees.
You have the option of creating the log file in 3 different ways, i.e:
- One file for all users.
- One file per user.
- App data folder on this computer.
If you select one file for all users or one file per user, you can put the log file on a network path which can only be used by the IT Administrators. You can also select the file size depending on the size and you can hide the settings screen so the users can not make any changes.
Setting up the log file:
You will need the SendGuard Outlook add-in. If you don’t already have it installed, try our 30 Day Trial Version.
Once installed:
- Open Outlook.
- Click on the Standss Outlook Add-ins tab on the ribbon.
- Click on SendGuard and then click Settings to open the Settings screen.
- Select Advanced Tab
- Setup your logging preference and click on OK to save.
