Why should you not use BCC for Mass Emails?

By: Standss Contributor , Jun 20th, 2023

Sending mass emails is a common practice in business and personal communication. Whether you’re sending a newsletter to your subscribers, an announcement to your team, or a promotional email to your customers, you need to make sure that you’re using the right tools and techniques to avoid any issues.

A lot of people use BCC to send mass emails. However, this is not one of the best practices.

This post provides essential insights on Bcc and explains why it is not advisable to use it for mass emails.

Instead, we strongly recommend utilizing a professional email marketing software like EmailMerge for Outlook to send personalized emails – so you can benefit from advanced marketing tools like email segmentation and email design templates.

What is BCC and How Does it Work?

BCC is a feature in email clients that allows you to send an email to multiple recipients without revealing their email addresses to each other. When you add recipients to the BCC field, they will receive a copy of the email, but their email addresses will be hidden from other recipients.

This is useful when you want to send a mass email to a large group of people, but you don’t want to reveal their email addresses to each other.

Is revealing email addresses a breach of data security laws?

Email addresses are a form of personally identifiable information (PII) because they can be used to identify a person. Therefore, sharing of email addresses could be a breach of data privacy laws like GDPR.

Such a form of personal data is protected by law from being exposed and it is possible for the victim to claim compensation for failure to keep email addresses private.

A successful data breach claim would require the victim to prove that their personal data was affected. This means proving that the organization responsible for protecting your data did not take reasonable steps to protect your data.

Why you shouldn’t use BCC for mass emails?

Using BCC for mass emails is generally not recommended because:

Lack of Personalization- Another drawback of using BCC for bulk emails is that it lacks personalization. Since you will be sending the same email to multiple recipients, you cannot use one person’s name. You will to use generic greetings like “Hi Reader” or “Good morning” rather than using the recipient’s name.  Personalized emails tend to have better engagement and higher response rates.

Unsubscribe and Opt-out Challenges: In mass emails sent through BCC, managing unsubscribe requests or allowing recipients to opt-out becomes difficult. Since recipients cannot see who else received the email, they may reply to the sender asking to be removed from the mailing list. This manual handling of opt-outs can be time-consuming and error-prone.

Limited Tracking and Analytics: BCC emails typically lack tracking and analytics features. Without detailed insights on open rates, click-through rates, and other metrics, it becomes challenging to assess the effectiveness of the email campaign or make data-driven improvements.

Use Mail Merge to send Mass Emails

The process of including numerous email addresses in the CC or BCC fields of your email draft can be arduous, time-consuming, and poses a potential risk of inadvertently disclosing the personal contact details of your email recipients.

You can use a mail merge feature in Outlook to send bulk email to your email contacts quickly. To learn how to use mail merge in Outlook read this article for instructions.
